What personal data we collect and why we collect it

Contact form

We offer the possibility to use a contact form on our website to easily get in touch with us. If you use the contact form the following information will be asked for: First Name, Last Name, Email Address and your Message to us, of course. The moment you click the submit button underneath the form the mentioned information will be transmitted and formatted into an email which will be send to us automatically. Alternatively, contact via the provided email address is possible. In this case, the user’s personal data transmitted by email will be stored the exact same way in the inbox of our web hosts mail system. There is no disclosure of this data to third parties. The data is used exclusively for processing the conversation and hopefully answering your questions. Underneath the contact form we refer to this privacy statement and ask for your consent to the following statement: “Yes, I consent to having EWDD24 store my submitted information so they can respond to my inquiry.”

Abstract Upload form

This form works the same way as the contact form. Instead of a message to us, we just ask for the title of your poster and the poster abstract upload itself. Underneath the Abstract Upload form we refer to this privacy statement and ask for your consent to the following statement: “Yes, I agree that EWDD24 may save my submitted abstract so that they can evaluate it. Name and email address will only be used to associate the submitted abstract with the registration.”

Registration form

Again, this form works in the same way as mentioned before, but this time it is much more complex and we have to ask for much more information, which lays in the nature of a registration form. Not only do we have to organise your accommodation (except you chose to register only), but also the financial management. Therefore, we also ask for your consent underneath the registration form to the following statement: “Yes, I consent to the collection, storage and processing of my personal data by EWDD for the purposes of this event. This includes, for example, communication by e-mail and the transfer of the necessary information to the University of Siena’s Finance Department for financial management, etc. Photos will be taken throughout this event. These might be used by the University of Siena, sponsors of EWDD24 and the venue Certosa di Pontignano for marketing and publicity in publications, on websites and in social media or in any third party publication.” and we again refer to this privacy statement.

Embedded content from other websites

This site may include embedded content (e.g. videos, images, maps, articles, font, etc.). Of course, our goal is to integrate as few of these third-party services as possible and, if necessary, to always choose an option that preserves privacy.

Maps

The provider of this plugin writes the following on the subject of “Information on data protection & external services”: “GeoUNIT Maps uses tiles provided by the GeoUNIT Tileserver, a third-party service from Unit08 GmbH in Germany that offers excellent privacy protection. The Plugin is designed to be fully GDPR-compliant out of the box, and the only external service it uses is the GeoUNIT Tileserver. The usage of this plugin and Tileservers is completely free. We do not store any information about your page visitors. This means that your users’ data is safe and secure.”

Social Media Share Buttons

We also protect your data by not using the “original” share buttons because those automatically transmit data to the social network sites as soon as you visit any website. You do not need to click on one of these share buttons for this and therefore have no choice, wether you want your data to be send or not. However, the German computer magazine c’t has developed “Shariff” (ʃɛɹɪf) that follows the General Data Protection Regulation (GDPR – Regulation (EU) 2016/679) by implementing the share buttons as static images instead, which contain a link to the corresponding social network site. It is an open-source, low-maintenance, high-privacy solution to enable our visitors to share the content of our website without needless data leaks. If you click on such a button, you will be redirected to the respective social network site in the same way, as normal links would do as well. You now decide for yourself which data you make available to Facebook & Co. by clicking on the share button only if you really want to recommend a post. In fact, by clicking on such a button you agree that your browser connects to the servers of this social network and transmits data. If you do not click on a share button like this, no data will be transmitted. For more information about the Shariff project check out the original GitHub project. How long we retain your data

Your data will be deleted as soon as the purpose of the processing has been achieved and unless there is another legal retention period.

What rights you have over your data

You have the right to information / correction / deletion etc. of your data in accordance with Art. 12-21 of the General Data Protection Regulation. You can revoke your consent given while e.g. using one of the our forms without damaging consequences for you at any time informally with effect for the future. You can address your declaration of revocation to the contact information provided under “Contact” either at the beginning of this privacy policy, or our imprint.

In the case of revocation, the University of Siena and the EWDD24 organising committee will delete the data stored by them and any processors.

Where your data is sent

The main server for our website is located in the European Union (EU), namely in France. Our website provider has additional servers in The Netherlands and Lithuania, both within the EU as well. Servers in the USA, United Kingdom, India, Singapore and Brazil are mainly used to speed up the connection to you (Content Delivery Network, so called “CDN”) if you are outside the EU, again using only the encrypted https:// protocol.
